NT WASTE AWAY PTY LTD (ABN 74 665 665 485) (“NT Waste Away”, “we”, “us” or “our”) provides skip bin hire, rubbish removal, waste transport and disposal services across Darwin, Palmerston and the surrounding Northern Territory region. We are committed to protecting your privacy and handling your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

This Privacy Policy explains what personal information we collect, how we collect, hold, use and disclose it, and how you can access, correct or complain about the handling of your information. It applies to our website (wasteawaynt.com.au), our online booking and quote forms, our telephone and email communications, and the services described in our Terms & Conditions.

By providing personal information to us, including through a booking, quote request, phone call or our website, you consent to the collection, use and disclosure of that information in accordance with this Privacy Policy.

1. Personal Information We Collect

The type of personal information we collect depends on how you interact with us. This may include:

• Identity and contact details – your full name, business/company name, ABN or ACN (where applicable), postal address, site address, email address and phone number.
• Booking and service details – bin size, waste type, delivery and pickup dates, site access instructions (including gate codes, keys or lockbox details you choose to provide), site contact details and special delivery requirements.
• Payment information – credit or debit card details and billing information, collected and processed for the purpose of taking payment for bookings and any additional charges properly payable under our Terms & Conditions.
• Communications – records of enquiries, quote requests, phone calls, emails, SMS messages and any feedback, complaints or reviews you provide to us or post publicly (for example, on Google Business Profile or Facebook).
• Site evidence – photographs or other supporting evidence relating to site condition, damage claims or incidents, where you or we provide these in connection with clause 4 of our Terms & Conditions.
• Website and technical information – IP address, browser and device type, pages visited, referring website and general usage data collected automatically through cookies and analytics tools when you use our website.

We do not intentionally collect sensitive information (as defined in the Privacy Act) and ask that you do not include sensitive information in enquiries or bookings unless it is directly relevant and necessary – for example, information relevant to safe access to a site.

2. How We Collect Personal Information

We collect personal information directly from you when you:

• Complete an online booking, quote request or pickup request form on our website;
• Enter your postcode or select a service area using our website tools;
• Call, email or message us to make a booking or enquiry;
• Provide feedback, a testimonial or a review of our services; or
• Otherwise correspond with us in connection with our services.

We may also collect personal information from third parties, including our payment processor, waste disposal facilities (for example, in connection with load classification), councils or authorities where relevant to a booking, and publicly available sources such as Google Business Profile or social media, where you interact with our business on those platforms.

Where practicable, we collect personal information directly from you. If you provide us with personal information about another person (for example, a site contact who is not the person making the booking), you must ensure that person is aware of this Privacy Policy and has consented to their information being provided to us.

3. Why We Collect, Hold, Use and Disclose Your Information

We collect, hold, use and disclose personal information for the following purposes:

• To provide, deliver, schedule and manage skip bin hire, waste collection, transport and disposal services in accordance with our Terms & Conditions;
• To process payments, issue invoices and manage billing, including additional charges such as extended hire, waiting time or contaminated load fees;
• To communicate with you about bookings, deliveries, pickups, scheduling changes, and to respond to enquiries and complaints;
• To assess and respond to site access issues, damage claims or incidents reported under our Terms & Conditions;
• To comply with our legal and regulatory obligations, including waste classification and reporting requirements applicable to disposal facilities;
• To send you service-related communications and, where you have consented, marketing communications about our services, promotions or offers;
• To maintain, improve and secure our website and booking systems, including through website analytics; and
• To manage our business operations, including record-keeping, accounting and dispute resolution.

Where we collect information for a particular purpose, we will only use or disclose it for another purpose where you would reasonably expect us to, where you have consented, or where otherwise permitted or required by law.

4. Disclosure of Personal Information

We may disclose your personal information to the following categories of third parties, only where reasonably necessary for the purposes described above:

• Payment processors and financial institutions, to process card payments and manage billing;
• Waste disposal facilities (including Shoal Bay Waste Management Facility), where necessary for load classification, weighbridge records or regulatory compliance;
• Our staff, contractors and delivery drivers, to the extent necessary to deliver, place, exchange or collect bins;
• IT service providers, website hosting providers and software platforms that support our booking system, customer communications and business operations;
• Debt collection agencies or legal advisers, where necessary to recover amounts owing under our Terms & Conditions;
• Local councils, body corporates or regulatory authorities, where required in connection with permits, approvals or compliance matters relevant to your booking; and
• Any other party where required or authorised by law, or with your consent.

We do not sell your personal information to third parties. Any service provider who receives personal information from us is only permitted to use it for the purpose for which it was disclosed, consistent with this Privacy Policy.

5. Overseas Disclosure

Some of the IT, hosting, email or software platforms we use to operate our website and business may store or process data on servers located outside Australia (for example, in the United States or other jurisdictions where our service providers operate). Where this occurs, we take reasonable steps to ensure these providers handle personal information in a manner consistent with the Australian Privacy Principles. If you have questions about the location of any specific service provider, please contact us using the details in section 12.

6. Website Cookies and Analytics

Our website may use cookies and similar tracking technologies to improve functionality, remember your preferences (such as a selected postcode or service area), and understand how visitors use our website through analytics tools. Cookies are small text files stored on your device. You can set your browser to refuse cookies or to alert you when cookies are being sent; however, some parts of our website (including the booking and postcode lookup tools) may not function properly without them.

We may use aggregated or de-identified website analytics data to understand traffic patterns and improve our services. This data is not used to personally identify you unless combined with other information you have provided to us.

7. Direct Marketing

We may use your contact details to send you information about our services, including promotions, seasonal offers or service reminders, where you have provided your details to us or otherwise consented to receiving such communications. You may opt out of direct marketing at any time by contacting us using the details in section 12, or by using the unsubscribe function included in any marketing email or SMS. We will not use sensitive information for direct marketing purposes.

7A. Photographs You Upload

If you upload photographs with a booking or a pickup request, we use them only to plan and carry out the service, to assess site access and waste acceptance, and to deal with any incident, damage claim or dispute relating to that job.

• Uploaded photographs are stored privately. They are not published on our website, are not listed publicly, and are not accessible through a public link.
• Access is limited to authorised NT Waste Away staff, who open a photograph through a short-lived private link generated for that purpose.
• Please photograph only the waste, the bin position and the access route. Where you can, avoid including other people, vehicle number plates, documents or other private information that is not relevant to the job.
• Photographs are retained only for as long as reasonably necessary for the job, our records and any related claim or legal obligation, and are then deleted or de-identified.
• You can ask us to delete a photograph you have uploaded by contacting us using the details in section 12, unless we are required to keep it for a legal, accounting or dispute-related reason.

7B. Payment Details

Card payments are processed by our payment provider on secure payment infrastructure. Full card numbers and security codes are entered directly with that provider and are not collected, seen or stored by NT Waste Away. We retain only the payment references and receipt details we need to identify your payment, issue invoices and process any refund or additional charge properly payable under our Terms and Conditions.

7C. Analytics and No Personal Information in Events

Where website analytics are enabled, we record only non-identifying interaction data such as the service zone, waste type, bin size, number of items in a cart and order value. We do not send names, email addresses, phone numbers, street addresses or payment details to any analytics service, and analytics runs subject to consent settings in your browser.

8. Data Quality and Security

We take reasonable steps to ensure the personal information we collect, use and disclose is accurate, complete and up to date. You can help us do this by notifying us of any changes to your contact or billing details.

We take reasonable technical and organisational steps to protect personal information we hold from misuse, interference, loss, and unauthorised access, modification or disclosure. This includes restricting access to personal information to staff and contractors who need it to perform their role, and using secure, reputable platforms for payment processing and data storage.

No method of electronic storage or transmission is completely secure. While we take reasonable steps to protect your information, we cannot guarantee its absolute security.

9. Retention of Personal Information

We retain personal information for as long as reasonably necessary to fulfil the purposes for which it was collected, including to meet our accounting, taxation, legal and regulatory obligations, and to resolve any disputes or claims. Where personal information is no longer required, we take reasonable steps to destroy it or ensure it is de-identified, in accordance with our legal obligations.

You have a right to request access to the personal information we hold about you, and to request that we correct any information that is inaccurate, out of date, incomplete, irrelevant or misleading. To make a request, please contact us using the details in section 12.
